Business Software

Workflows People Actually Follow

We build software that routes work between people and systems, with approvals, deadlines and visibility, so multi-step processes stop depending on email threads.

Overview

Workflow Management Software

Many business processes live in inboxes: a request arrives, someone forwards it, an approval is lost and nobody knows the status. Codemotives builds workflow management software that makes the process explicit. Each request has a defined path, an owner at every step, deadlines, and a full history of who did what and when.

We typically build a configurable workflow engine with forms, conditional routing, parallel and sequential approvals, escalations and notifications, plus dashboards for managers. Workflow management focuses on how work moves among people, while business process automation focuses on replacing manual tasks with software actions. The two often combine, and we will scope them clearly.

Context

Problems we solve

  • 01

    Requests lost in email

Work sent through inboxes has no owner or status, and delays are only noticed when someone complains.

  • 02

    Inconsistent approvals

Without defined rules, similar requests are approved by different people with different criteria.

  • 03

    No bottleneck visibility

Managers cannot see where work waits or which steps cause delays, so improvement is guesswork.

  • 04

    Rigid tools

Hard-coded workflows need developers for every change, so processes drift away from the software.

Capabilities

What we deliver

  1. 01

    Visual workflow design

Configurable steps, conditions and roles that admins can adjust without code changes.

  2. 02

    Forms and data capture

Dynamic request forms with validation, attachments and fields that change by request type.

  3. 03

    Approvals and routing

Sequential, parallel and conditional approvals, delegation for absences and rule-based assignment.

  4. 04

    SLAs and escalations

Due dates, reminders and automatic escalation when a step stalls.

  5. 05

    Audit trail

A complete, tamper-resistant history of actions, decisions and comments for every request.

  6. 06

    Dashboards and analytics

Queue sizes, cycle times and bottleneck reports for process owners.

Where it fits

  • Purchase request and expense approvals
  • Employee onboarding and offboarding steps
  • Contract review and sign-off
  • Customer service escalation paths
  • Quality and compliance document approvals

Technologies we use

  • Node.js
  • React
  • Laravel
  • PostgreSQL
  • Camunda
  • BPMN
  • Redis
  • REST APIs

Approach

How we deliver

  1. 1

    Discover

We learn your goals, users, constraints and existing systems before proposing anything.

  2. 2

    Plan

Scope, priorities, architecture and milestones are agreed so everyone knows what ships when.

  3. 3

    Design

User flows, interfaces and technical design are shaped and reviewed with you early.

  4. 4

    Build

Work is delivered in short iterations with regular demos, so progress is always visible.

  5. 5

    Test

Functional, integration and performance checks run throughout, not only at the end.

  6. 6

    Launch & support

We deploy, monitor and keep improving the product after it goes live.

FAQs

Common questions

Have a question that is not covered here? Get in touch.

How is this different from business process automation?

Workflow management routes tasks and approvals between people and tracks their progress. Process automation replaces manual work with software actions, such as moving data between systems. Many projects need both, and we separate them in the plan.

Should we use an existing workflow tool?

Tools such as low-code platforms or BPM suites can work well for simpler cases. Custom software is better when workflows are central to your product, need deep integration, or must meet specific access and audit rules.

Can non-developers change workflows later?

Yes, if we build a configuration layer for it. We decide with you which changes should be admin-configurable and which should stay in code for safety.

What drives cost and timeline?

The number of distinct workflows, how complex the routing and permissions are, integrations with other systems and the reporting you need. Starting with one high-volume process is a good pilot.
